A warranty registration SOP for a three truck solar company

A written procedure you can adopt this week: what the technician captures on site, what the office does within 48 hours, what gets said at handover, and the monthly sweep that catches conditions after they break.

A workable warranty procedure for a small solar company has four moving parts: the technician captures six things per unit on site, the office acts within 48 hours, the handover conversation covers any decision that belongs to the homeowner, and someone sweeps the live conditions monthly. Everything else is detail. Below is the procedure, written so you can adopt it as it stands.

Why three trucks is the size where this breaks

At one truck the owner knows every system personally. At twenty there is an operations manager whose job this is.

Three trucks is the awkward middle. Enough volume that nobody remembers individual installs, not enough that anybody owns warranty admin as a role. The failure is not that people are careless. It is that the cost of skipping a registration arrives in six years and lands on a different person, so nothing in the day corrects it.

The fix is a written procedure with named owners and a definition of done. Not software, not discipline, not reminders. A procedure.

Roles

Three named people. Use job titles, not names, so the SOP survives someone leaving.

Step 1. On site capture, per unit

Per piece of equipment, not per job. A normal solar job has three: array, inverter, battery.

Six items. It takes about a minute per unit on the day and is close to impossible a year later.

  1. Serial number
  2. Photograph of the nameplate, framed so the serial is legible
  3. Make and model
  4. Installation date
  5. Installing technician's name
  6. Confirmation that the unit is reporting, where the brand needs a portal connection

Items one to five are what manufacturer portals ask for: serial, model, install date, customer name, installation address, and on several brands the installer name. Item six is the one most technicians have never been asked for, and it is the one that matters on GoodWe and Tesla.

Definition of done: the technician does not leave site until all six exist for every unit. Not "the paperwork is with the office". The photograph and the serial exist, now.

Step 2. Same day handoff

The technician sends the capture to the coordinator before the end of the day, whatever the mechanism. If it lives on a phone overnight it lives on a phone for a week.

Definition of done: the coordinator has it, and has acknowledged it.

Step 3. Coordinator acts within 48 hours

The action depends on the route, and the routes need different verbs. Calling all three "register" trains people to skip the word.

Route: you register it. Fifteen of the nineteen brands in the catalogue sit here. Open the manufacturer portal, submit the fields, save the confirmation number against the unit. Applies to Fronius, GoodWe, REC, Silfab, SMA, EG4, FranklinWH and others.

Route: verify what the commissioning app did. Sungrow, Tesla, SolarEdge and Enphase. Nobody fills in a form, so nobody checks. Open the portal, confirm the unit appears, note the date you confirmed it. One minute. This is the route that fails most quietly, because there was never a task to forget.

Route: nothing to register. Jinko, Trina, LONGi, Q CELLS, BYD and Canadian Solar publish no registration requirement in the documents that were checked. The work here is filing, because with nothing submitted the only record is the one you keep. File the invoice, the delivery documentation and the serials. BYD is the reason: without a written delivery note the ten years runs from six months after production rather than delivery plus 30 days.

Definition of done: every unit on the job has either a confirmation number, a dated verification note, or a filed document set. No unit is in none of those states.

Step 4. Record it against the unit, not the job

The record has to be findable by equipment, because the questions you will ask in year six are equipment questions. "Every GoodWe inverter we have fitted, and whether it is reporting." "Every Powerwall, and when connectivity was last confirmed."

Minimum fields per unit:

The conditions row is the one no ordinary system has, because it never stops being relevant. A condition has a last checked date, not a completion date.

Step 5. Handover conversation

Two things get said out loud and written into the handover document.

Any decision that belongs to the homeowner, with its clock. Alpha ESS standard cover is five years, and the ten year extended cover is a paid extension that has to be bought within 30 days of installation. That is a handover conversation, not a later one. SolarEdge standard cover is 12 years and needs nothing, but a paid extension to 20 or 25 years has to be bought within 24 months of shipment. Record the answer either way. "Declined, 4 September 2026" is a record. Silence is a liability.

Connectivity, in one sentence, where it applies. Your inverter has to stay connected to the internet, and if it stops, your warranty gets shorter. Then: if you change your internet, tell us. Say it, write it, move on.

Definition of done: the handover document names each unit, its term, any condition attached, and any customer decision with the date and the answer.

Step 6. Monthly condition sweep

Owner or operations lead, first Monday of the month, thirty minutes.

Open the portals for the brands with live conditions. On GoodWe, the ten year term needs the inverter connected to the SEMS portal with generation data uploading, otherwise it is five. On Tesla, the Powerwall has to stay connected, and if the connection drops and is not restored within 45 days of Tesla's written request, cover ends at 48 months instead of ten years.

List the units that are dark. Contact those customers. Record the outcome.

The sweep is worth running in months when it returns nothing, because the value is entirely in the months when it does not.

Step 7. Six monthly terms review

Warranty documents change. Once every six months, re-read the published document for every brand you fit and write down the date you read it. A term you verified two years ago is a term you are guessing at.

This is also the moment to check your own history. Conditions with no published deadline can usually still be met, so a backlog is recoverable. GoodWe publishes no deadline on the SEMS connection, which means a unit that fell off the network in 2024 can be reconnected this afternoon and the condition holds again. Dated windows are not recoverable: Silfab's 180 days from purchase and Fronius Warranty Plus at 30 months from delivery ex works are gone once gone.

Exceptions

Write these down too, or people will invent answers.

  • Portal is down. The job stays open. Coordinator retries next business day. It does not get closed with a note saying it will be done later.
  • Serial is unreadable in the photo. Technician returns or the next visit to that address captures it. Do not type a serial you cannot see.
  • Condition cannot be met on the day, for example no internet at the property yet. Record it as unmet with the reason, and put it on the sweep list rather than pretending it is done.
  • Customer will not decide on a paid extension. Record the non answer with the date, and diary the deadline.

The one page version

Per unit, every job. Serial. Nameplate photo. Make and model. Install date. Technician name. Reporting confirmed where the brand needs a portal.

Within 48 hours. Register it, or verify the commissioning app did, or file the documents. One of the three. Store the proof against the unit.

At handover. Any homeowner decision with a clock, asked and answered in writing. Connectivity said out loud where it applies.

First Monday monthly. Sweep the portals. Find the dark units. Contact them.

Every six months. Re-read every brand's document. Write down the date.

Making it stick

Adopt it as it stands, then change one thing at a time. The two steps that pay first are the nameplate photo, because it is impossible to recreate, and the 48 hour verification on the automatic route brands, because that is the failure nobody is currently looking for.
