What warranty tracking needs that job management software does not do

Scheduling and field service tools are built around the job and the calendar. Warranty tracking is built around one piece of equipment and the next twenty five years. Here is the difference, stated plainly and without a feature war.

Job management software organises work around the job and the calendar. Warranty tracking organises around one piece of equipment and the next ten to twenty five years. Those are different jobs to be done, and a tool built well for the first has no structural reason to do the second. This is a difference in what is being recorded, not a feature comparison.

A note on how this post is written

We are not going to tell you what Jobber, Housecall Pro or ServiceTitan do or do not have in their products. We have not audited them, their products change, and a page that invents a feature list to score points against a named competitor is worth nothing to you.

What we will do is describe the shape of the two problems, so you can look at whatever you already run and answer the question yourself. If your existing tool covers everything below, you do not need another one. That is a real possible outcome and we would rather you reach it honestly.

The starting position is the one on our FAQ: keep your scheduling tool. Claim Timer does not schedule jobs, dispatch technicians, send invoices or run a CRM, and it is not going to.

The unit of record is different

A job management system records a job. One customer, one address, one date, one crew, one invoice. Everything hangs off that.

A warranty record hangs off a piece of equipment. A single residential solar job typically carries three: an array, an inverter, and increasingly a battery. Three manufacturers, three sets of terms, three serial numbers, three start dates that are not necessarily the same date, and three separate obligations that can each fail independently.

This is not a labelling difference. It changes what questions you can ask. "Show me everything we did for the Hendersons" is a job question. "Show me every GoodWe inverter we have ever fitted and whether it is still reporting to SEMS" is an equipment question, and you cannot get to it from a job list without exporting and filtering by hand.

The time horizon is different by an order of magnitude

A job is open for days and closed forever. Warranty terms in this catalogue run from five years to thirty.

Everything follows from that. A system designed to close things has no reason to hold an obligation open for a decade, and no reason to survive the three or four software migrations your company will make in that decade. The record has to outlive the technician who created it, the office manager who filed it, and the tool it was created in.

That is why "we keep it in the job notes" fails. Not because job notes are bad. Because in year seven nobody is opening a job from year one, and the person who would have known to look has left.

"Done" means something different

A job is done when the work is finished and the invoice is paid. That is a clean, checkable end state, and job management software is built around producing it.

Warranty obligations do not all have an end state. Across nineteen brands checked against their own published documents, three carry a real dated window and eleven carry conditions instead. A window can be closed. A condition can only be true today.

A tool whose core abstraction is a task that gets ticked cannot represent the bottom two rows honestly. You end up ticking "checked connectivity" in 2026 and the tick still sits there in 2031, asserting something that stopped being true in 2028.

The counterparty is different

Everything in a job management system points at your customer. Quote, schedule, invoice, chase payment. That is the relationship it models.

A warranty claim points at the manufacturer, and the manufacturer is a stranger who will decide whether to pay based on documents. What a claim wants is not what an invoice wants:

  • The serial number of the failed unit, correct to the character
  • A photograph of the nameplate, because a mistyped serial is the most common way a claim dies
  • The install date, or whatever date that brand's term actually starts from
  • Proof of purchase, sometimes several documents. Jinko claims want the warranty certificate plus the purchase and installation invoices
  • Evidence that any condition on the long term was met
  • The fault description, error codes and monitoring data

Nothing on that list is required to schedule a crew or send a bill, so there is no reason for a scheduling tool to have collected it. The photograph is the sharp example. It has to be taken on the day, by the technician, at the switchboard, and it is worthless if it was never taken. No amount of later diligence recreates it.

The domain knowledge has to live somewhere

The largest gap is the one that is easiest to miss: a general purpose tool has no opinion about manufacturers.

It cannot tell you that GoodWe's ten years depends on a portal connection, that REC ProTrust exists only where a certified installer registered the install, that Fronius registration in Solar.web within 30 months of delivery ex works both extends the term and moves its start date to commissioning, or that BYD runs the term from six months after production unless a delivery note exists. It cannot tell you that in the United States Enphase reimburses $200 per truck roll plus $25 per replaced microinverter while most brands in this catalogue pay nothing toward labour.

That knowledge is not a feature you can build. It is a catalogue somebody has to read, write down, date and re-read every six months. Whatever software you use, if that catalogue does not exist inside it, it exists in the head of your most experienced person, which is the same as saying it exists until they leave.

Six questions to ask of whatever you already run

Take your current tool and answer these honestly.

  1. Can it list every unit of a given brand you have ever installed, with serial and address, without an export and a spreadsheet?
  2. Can it hold three different manufacturers with three different start dates on one job?
  3. Can it represent an obligation that has no completion date, only a last checked date?
  4. Will the nameplate photo still be attached to the serial in year nine?
  5. Does it know what each brand's claim actually requires, or does someone look that up each time?
  6. When a technician leaves, does anything they knew about a brand's conditions leave with them?

If the answers are yes, you are covered. Use what you have. If several are no, the gap is not a missing feature in your scheduling tool. It is a different record that your scheduling tool was never trying to keep.

Where Claim Timer sits, precisely

Next to your scheduling tool, not instead of it. One record per piece of equipment, with the nameplate photo, the serial, the start date, each brand's conditions and whether they have been confirmed, and the evidence pack assembled when a part fails.

The honest limits, stated the same way they are stated on the FAQ and in the site footer: it holds the record and builds the claim, it does not file with the manufacturer for you, and cost reporting across a quarter is not built yet.

Start where it is cheapest to check. Run your install dates through the warranty deadline calculator, work out what a warranty visit actually costs your business with the truck roll cost calculator, and see what a claim on your most common brand will ask for with the warranty claim checklist. Those three will tell you fairly quickly whether you have a gap.

Warranty terms change and differ by country. Treat this as a starting point and check the manufacturer's current document before you rely on it.
